Adding a Main Faxbox Number

To send and receive faxes on Dash you will need to add a phone number to your Main Faxbox.

  1. On the Dashboard, click on Faxbox Number.
  2. Choose either Add from Spare Numbers to use a number already on your account, or Buy Numbers to add a new number to handle your faxing. If you have questions on buying a new number, we recommend referring to our instructions on adding a main number.
  3. Under Spare Numbers choose the number you wish to use and click on Add selected numbers.
  4. A new window will open to allow you to enter an email address. This is the email address that will receive the inbound faxes. Click on Save Changes. You can change this email address later by clicking on Edit Faxbox. A pop up window will appear to enter in a new/replacement email address. Remember to Save Changes when you’re finished.
  5. The phone number is now your Main Faxbox Number and you can now receive faxes on this number.

Adding Faxing for Users (Inbound and Outbound)

  1. From the Dashboard, click on Users.
  2. On the Users page, click on the “User Features” box next to the user you wish to enable Faxing on.
  3. Select Faxbox.
  4. Click on Disabled to toggle to Faxbox Enabled.
  5. Select a number to use for sending and receiving faxes. You may choose from an available number on the account (Select a spare number) or a new number (Buy a new number). Once a number is chosen click on Save Changes.

Adding Faxing for Users (Inbound Only)

Adding inbound faxing only allows you to set up Faxbox on a user without having to purchase a phone number or assign a phone number to the Main Faxbox. When an incoming fax comes in, the main number will be dialed and the fax will be routed to the identified extension number. The fax sender will need to include the extension when sending the fax.

  1. From the Dashboard, click on Users.
  2. On the Users page, click on the “User Features” box next to the user you wish to enable Faxing on.
  3. Select Faxbox.
  4. Click on Disabled to toggle to Faxbox Enabled.
  5. Select Assign a New Extension. This will create a new extension number that is specifically for inbound faxes for this user only. You will not be able to send faxes from this faxbox/using the faxbox credentials. This is because sending a fax requires CallerID information which is associated with an actual phone number, not an extension.
  6. Type the extension number you wish to use. You will need to create a new extension, ie you cannot use an existing user extension number or ring group number.
  7. Once you have selected an extension, click on Save Changes

How to Send a Fax

  1. Log into the email address chosen upon setup. In the example above, chapchap@yahoo.com.
  2. Next, find your Account Realm. System Administrators can find this in a couple of areas:
    • Bottom right of the Dashboard.
    • Under Account Settings:
      1. Click on your name to pull up the account information page.
      2. On the left, click on Account.
      3. Click on the Account name box.
      4. Your Account Realm will be displayed.
    • Record your Account Realm.
  3. In the recipient field enter the phone number you would like to send the fax to, followed by your Dash Account Realm. Using the example account below: +14084147676@marketing.sip.virtualpbx.com would send a fax to the destination phone number +14084147676.
  4. Attach the fax document that needs to be sent to the fax number destination (PDF or TIFF). Note: when using email to fax, a signature file on your email will cause an error and the fax will fail. Larger files may be compressed and can take up to an hour to be delivered. Files over 7MB will fail.
  5. An email confirmation will be sent to the user’s email address once it has been delivered.
  6. You can email support@virtualpbx.com to request to have your company’s email domain added to the permissions for faxing out. This allows employees who are not Dash users to send out faxes.

How to Receive a Fax

Your senders will fax to the number you identified while creating your faxbox. In this example, +14082170068. You may retrieve your faxes in the email address you identified while creating a faxbox, in this example, chapchap@yahoo.com.

Using the Fax Manager

The Fax Manager is now available on Dash for administrators to easily sort faxes by recipient, sender, date, number of pages, and more.

  1. Simply login as an administrator and click on the menu icon in the top right of your Dashboard.
  2. In the pull down menu, select Faxes.
  3. This will take you to the Fax Management page. By default, you will be taken to Inbound Faxes, but you may also navigate to Outbound Faxes or Email to Fax Logs.
  4. You can also filter to a specific Faxbox.
  5. You may delete faxes by selecting the box in front of the fax and clicking on the trash icon.
  6. You can download a .tiff of the file by selecting the download icon.
  7. You may also view Fax details by clicking on the detail icon.
