Adding VoIP Devices

One VoIP device is included per user on Unlimited Minutes Plans and zero VoIP devices are included on Unlimited User Plans. Additional VoIP devices are $9.99 per user/month. This does not include cellphone or landline devices. Please contact us if you’d like to discuss your plan’s particular billing details.

On the Users screen you are given the following choices on what to adjust:

  • Phone Numbers: This is for creating/assigning a direct contact number (DID) to an individual user, bypassing the virtual receptionist.
  • Devices: This is to add VoIP phones or contact numbers to the user, enabling them to receive calls to their device(s).
  • User Features: This is to enable or disable additional features for the particular user, including voicemail, Follow Me Calling, and more.
  • Extensions: All users must have an extension number. We recommend using 3 or more digits rather than a single digit. Single digits can be set as menu options under “Virtual Receptionist” then assigned to a group, user, or a voicemail box.
  1. To get started, click on the user’s Devices button for the user you wish to work with.
  2. Click on New Device.
  3. Here you are given the option to add a few different kinds of devices. Follow the directions below for the device you wish to add.


SIP Phone

  1. Click SIP Phone to add a supported VoIP phone to a user.
  2. Select the brand of your device.
    • If the brand of your device is not listed for auto provisioning, you will need to select “The brand of my device is not listed here.” This will open a modal window that will ask you to first name the device. Next it will provide you with the “SIP Username,” “SIP Password,” and “Realm”. This information will need to be manually provisioned into your device. Please refer to the device manufacturer’s instructions to complete this step.
  3. After you click the brand of your device, you will see a list of supported auto-provision models listed.
  4. Select the model of your device, and enter a Name and the MAC address (typically found on the back of the phone). Click on “Create Device.”


VirtualPBX Softphone

  1. Click the Softphone option to add a softphone to a user.
  2. You’ll see a warning message related to wireless technology and e911. Click Close.
  3. At this point you can choose to use a VirtualPBX Softphone or a 3rd Party softphone.
    By default you see that the softphone is set as a 3rd Party softphone.
    Click where it says Use 3rd Party application to change to Use VirtualPBX Application.
  4. Enter a name for the device. Click on Create Device.
  5. Click on Configuration to get links to the appropriate mobile app store for your free download.
    Alternatively, you may choose to purchase the VirtualPBX Softphone for Desktop on our online store.
    Always remember to click on Create Device.
  6. Click the Save Changes button to finalize your work.
    The system will now email you your login credentials for the VirtualPBX Softphone.


3rd-Party Softphone

  1. Click the Softphone option to add a softphone to a user.
  2. You’ll see a warning message related to wireless technology and e911. Click Close.
  3. At this point you can choose to use a VirtualPBX Softphone or a 3rd Party softphone.
    By default you see that the softphone is set as a 3rd Party softphone.
  4. Enter the Device name
    Then copy your SIP Username and SIP Password because you will need then to set up the softphone application on your mobile device. (You can click on the SIP Password field to reveal the password.)
  5. Click on Advanced. Then select the Audio option.
    You can add additional codecs for use with your softphone. The 3 default are the most commonly used.
  6. Restrictions allow you to set where the device can call out to. Please adjust as you see fit.
  7. Emergency Caller-ID allows you to use either the Account Default information or to specify one of your main numbers.
  8. Miscellaneous allows you to do some further customization. Adjust these settings to your liking.
    When you have finished your changes, click on Create Device.
  9. Your softphone will now appear in your device list. Click on Save Changes.
    Now you will want to set up your application, if you’re using Xlite or Bria you can use our guide.
  10. After you have set up your softphone applications correctly it will show up as green under users as long as the softphone is connected.
